1. Scope
This Privacy Policy applies to timeInvite.com, its organizer dashboard, public booking pages, administrative services, emails, and related scheduling features (collectively, the “Service”). It does not govern third-party services such as Google, Microsoft, Stripe, Cloudflare, or an organizer’s own business practices.
An organizer controls the booking page through which a visitor schedules a meeting. Visitors should contact the organizer directly about the organizer’s independent use of information received through a booking.
2. Information we collect
Organizer and delegate information
We may collect names, email addresses, profile photographs supplied by an identity provider, job titles, organization names, account roles, booking-page settings, availability rules, time zones, subscription status, and account-support communications.
Authentication and integration information
When someone signs in or connects a calendar, we receive identifiers and profile information from the selected identity provider. We also store information needed to maintain the authorized calendar connection, including provider account identifiers, granted permissions, encrypted access or refresh tokens, calendar identifiers, connection status, and token expiration information.
Booking visitor information
When a visitor requests a meeting, we may collect the visitor’s first and last name, email address, company, phone number, meeting topic, notes, time zone, selected meeting time, email-verification status, and booking-management activity.
Billing information
Stripe processes payments and payment methods. We may receive and store Stripe customer and subscription identifiers, plan and billing interval, payment status, trial dates, invoices, and limited billing-related information. TimeInvite does not store complete payment-card numbers.
Technical and security information
We may collect IP addresses, browser and device information, timestamps, referral information, security events, rate-limit activity, audit records, webhook events, and diagnostic information needed to operate, secure, and troubleshoot the Service.
3. Calendar and Google API data
TimeInvite accesses calendar information only after an organizer authorizes a connection. Depending on the provider and permissions granted, the Service may:
- Retrieve calendar names, identifiers, and access capabilities so the organizer can select destination and conflict calendars.
- Check free/busy information and event timing to calculate available booking times.
- Create, update, or delete calendar events associated with TimeInvite bookings.
- Create or retain meeting links, event identifiers, event URLs, and synchronization status needed to manage a booking.
Calendar event details are not displayed on public booking pages. We do not sell Google user data, use it for advertising, or use it to determine creditworthiness. TimeInvite’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including its Limited Use requirements.
Organizers can disconnect TimeInvite through their Google or Microsoft account controls. Disconnecting may prevent the Service from checking availability or managing existing calendar events.
4. How we use information
We use information to:
- Create and administer organizer and delegate accounts.
- Authenticate users and maintain secure sessions.
- Calculate availability and prevent scheduling conflicts.
- Verify visitor email addresses and reduce fraudulent bookings.
- Create, approve, reschedule, cancel, synchronize, and remind participants about meetings.
- Provide subscriptions, trials, billing, customer support, and service communications.
- Detect abuse, investigate errors, protect accounts, and maintain audit records.
- Comply with applicable legal obligations and enforce our Terms of Use.
7. Retention and deletion
We retain information for as long as reasonably necessary to provide the Service, maintain security and audit history, meet legal or accounting requirements, resolve disputes, and enforce agreements. Retention periods vary by the type of information and account status.
Organizers can anonymize eligible completed, cancelled, declined, or expired booking records. When an account is cancelled, it may enter a configurable recovery period before provider credentials are revoked and personal information is deleted or anonymized. Limited billing, security, backup, or audit records may be retained longer when required for legitimate operational or legal purposes.
8. Your choices and privacy rights
Depending on where you live, you may have rights to request access, correction, deletion, portability, restriction, or objection concerning personal information. You may also have the right to appeal a privacy-request decision or contact a local privacy regulator.
Organizers can update many account and booking-page settings through the dashboard, disconnect calendar access through the provider, or begin account cancellation through available account controls. Booking visitors can use the secure management link supplied with a booking to reschedule or cancel when permitted by the organizer’s settings.
To submit a privacy request, email support@timeinvite.com. We may need to verify your identity before completing a request. We may also direct booking visitors to the relevant organizer when that organizer independently controls the requested information.
9. Security
We use administrative, technical, and organizational measures intended to protect information. These measures include encrypted provider tokens, one-way hashing for verification and management credentials, restricted secure configuration, parameterized database access, audit records, and abuse controls. No internet service or storage system can guarantee absolute security.
10. International processing
TimeInvite and its service providers may process information in countries other than the one where a user lives. Where required, we use appropriate safeguards for international transfers and handle information according to applicable privacy law.
11. Children
The Service is not directed to children under 13, and children under 13 may not create organizer accounts. If we learn that personal information was collected from a child in violation of applicable law, we will take reasonable steps to delete it.
12. Changes to this policy
We may update this Privacy Policy as the Service, providers, or legal requirements change. We will post the revised policy with a new effective date and provide additional notice when required by law or when a material change affects how previously collected information is used.
